- Input requisitions or census information for the Special Education department, setting up the appropriate coding and reporting for these.
- Work with vendors on repair and maintenance contracts to assure the departments and the student’s equipment is in working order or the census inputs are correct and make the corrections. Works with teachers to correct errors. Finds teachers and other staff to work with homebound students.
- Sends out and receive on merchandise ordered and communicating with vendor’s both before and after shipment has arrived about any changes or mistakes in the order or works with tuition schools to make sure the statements are correct and makes the corrections needed before paying invoices.
- Develops and maintains databases to track items ordered, student tuition, FBI and the Special Education budget, or census, making sure these items are within the appropriate budget lines or service code and dates. Reports on these.
- Check all bills for accuracy before sending to accounts payable on purchases, tuition and time sheets and pay actions for homebound.
- Keep in contact with vendors, teachers, and other school staff regarding orders and equipment or student information and services. Track inventory for the Special Education department. Works with other departments, census people, tuition schools, teachers, other Districts, State Dept. and employees, so that accurate census information is reported for the SPED28 and other census reports.
- Keep calendars and answer phones, taking and relaying messages, helping callers, and other people in the department on projects that need to be completed.
- Knowledge of applicable Federal, state, county, and city statutes, rules, policies, and procedures.
- Knowledge of applicable Peoria Unified School District and departmental policies and procedures.
- Knowledge of AS400, Access and Excel and Silk
- Knowledge of bookkeeping and accounting procedures
- Knowledge of phone etiquette
- Knowledge of filing and records management
- Knowledge of principles of customer service practices
- Knowledge of Special Education rules, regulations, procedures, and policies
- Knowledge of Special Education codes and how they are used
- Skill developing and entering information into multiple databases
- Skill in maintaining confidentiality of sensitive information
- Skill in calculating and checking students enrolled with the tuition bills
- Skill in attending to detailed financial and student files and records for extended periods of time
- Skill in establishing and maintaining effective working relations with co workers, vendors, the general public, purchasing, accounts payable and the business department
- Skill in operating a personal computer utilizing variety of software applications
- Skill in using a 10 key calculator
- Must be able to pass a fingerprint and background clearance check.
- Must be able to obtain and maintain an Arizona driver’s license.
- May be required to lift and carry heavy, bulky supplies and materials weighing up to 30 pounds.
- May be required to work outside normal working hours
- May be required to travel to perform work functions

Job Summary: Performs all functions connected with ordering or census, receiving, keeping of records, payment of all bills incurred and prepares the reports for the Special Education Department.

KNOWLEDGE AND SKILLS:
A High School Diploma or GED and experience with bookkeeping, accounting, computers, and some software applications, especially AS400. Knowledge of Special Education and the categories. Prior experience with 10 key calculator, and experience in a business office or any equivalent combination of experience and/or education from which comparable knowledge, skills, and abilities have been achieved
